AI SDR: What an AI Sales Development Rep Does Day to Day

What an AI SDR does each day: research, outreach, replies, booking and CRM updates, how it splits work with human reps, and how to onboard it like a new hire.

Key takeaways

  • An AI SDR is a set of AI agents that does the repetitive parts of sales development every day: research, first drafts, follow-ups, reply sorting, booking and CRM logging.
  • Its day has a rhythm: research overnight, approvals in the morning, sends within limits, replies handled as they arrive, and a report at the end of the day.
  • Human reps keep the conversations, the high-value accounts and the judgment calls; the AI SDR hands warm leads over quickly with the context attached.
  • Onboard it like a new hire: an ideal customer profile, examples of great emails, rules on what it may claim, and a ramp from full review to sampled review.
  • Judge it on meetings held and rep time saved, with deliverability and opt-outs watched every day.

An AI SDR is a set of AI agents that does the daily, repetitive work of a sales development rep. It researches accounts, drafts personalized outreach, sends follow-ups on time, sorts every reply, books meetings into reps' calendars and keeps the CRM current. Human reps approve outreach to high-value accounts, take over warm leads and handle the conversations. The result is that reps spend their day selling rather than prospecting.

This post follows an AI SDR through one working day, shows how the SDR role splits between the agent and your reps, and explains how to onboard it. For the full system design, deliverability and outreach law, see our AI sales platform guide. For the step before outreach, see our post on AI lead generation.

A day in the life of an AI SDR

One working day of an AI SDR
  1. 01Overnight: researchBriefs written for new accounts in the target segment; exclusions applied; every fact sourced.
  2. 02Early morning: draftsSequences drafted for each new contact in the brand voice; follow-ups due today queued.
  3. 03Morning: approvalsReps approve or edit drafts for high-value accounts; the rest is cleared to send.
  4. 04Through the day: sendsEmails go out within per-mailbox and per-day limits, spread across working hours.
  5. 05As replies arriveEach reply classified; simple ones answered; warm leads handed to a rep at once; meetings booked.
  6. 06End of day: reportSends, replies, meetings, handovers, opt-outs and anything that needs a decision.

In the autonomous sales system we built for a B2B sales team, this work is split across specialist agents. A research agent enriches each account from public sources and the CRM. A writing agent drafts multi-step sequences in the company's voice. An inbox agent classifies replies, answers common questions and proposes meeting times. Every send runs through guardrails and rate limits, high-value accounts need human approval, and all activity is logged to the CRM, so reps start each day with a clean, prioritized pipeline.

Overnight and early morning: research and drafts

Research does not need to happen while people watch. The AI SDR works through the day's new accounts, writes a short brief for each (company signals, the contact's role, recent news, likely priorities) and drafts the first email and follow-ups. It also queues today's follow-ups for contacts already in a sequence, skipping anyone who replied, opted out or became an opportunity.

Morning: the approval queue

Reps start the day with a short queue: drafts for high-value accounts, each with its brief. They approve, edit or reject. Edits are the most useful feedback the AI SDR gets, because they show exactly how your best reps would say it differently. Everything else is cleared to send under the limits.

Through the day: sending within limits

Sends are spread across working hours in each recipient's time zone, capped per mailbox and per day. Google's email sender guidelines ask all senders to keep reported spam rates below 0.3%, so the AI SDR watches complaints and bounces and pauses automatically if they rise. Every commercial email follows the FTC's CAN-SPAM rules, which make no exception for business-to-business email: honest subject lines, a postal address and a working opt-out.

As replies arrive: sort, answer, hand over

Replies are where speed matters. The AI SDR classifies each one (interested, question, objection, not now, wrong person, unsubscribe, out of office) and takes the agreed action. Interested prospects get meeting times straight away and a rep is alerted with the brief and the thread. Unsubscribes are processed at once and never answered with another pitch. Anything unclear goes to a person.

End of day: the report

The day closes with a short report for the team: emails sent, replies by type, meetings booked, handovers made, opt-outs and bounces, and any decisions waiting for a person. Leadership sees the same numbers in the CRM.

OpenAI's practical guide to building agents recommends splitting work across agents when instructions grow full of branching logic or tools start to overlap. A sales day reaches that point quickly, which is why research, writing and inbox work run as separate agents with their own tools and checks.

Onboarding an AI SDR like a new hire

The teams that get good results treat the AI SDR like a new rep who needs ramping.

  1. Give it the playbook. Ideal customer profile, personas, triggers that matter, exclusions, and the value story for each persona.
  2. Show it great work. Five to ten real emails from your best reps, with notes on why they work.
  3. Tell it what it may not say. Claims about pricing, results, customers or competitors that are off limits unless approved.
  4. Start on one segment. Pick a segment your reps know well, so they can judge quality fast.
  5. Ramp from full review to sampled review. Reps review every draft at first; once edits become rare, move lower-value accounts to a weekly sample. High-value accounts keep their approval step.
  6. Hold a weekly review. Look at briefs, drafts, replies and handovers with the reps, and turn every correction into a rule or a test case.

Where AI SDRs go wrong

Most failures are design failures, and each has a simple fix.

  • Volume before quality. Sending thousands of emails before the drafts are proven burns domains and reputations. Start small, prove reply quality, then raise limits gradually.
  • Generic personalization. A sentence that mentions the prospect's company name is not personalization. Each draft should use something specific from the brief, such as the trigger, and say why it matters to that person.
  • Made-up claims. A writing agent without rules will promise results or name customers it should not. Keep a list of approved claims and block the rest.
  • Slow handovers. An interested prospect who waits a day for a rep often goes cold. Alert reps the moment a reply is classed as interested, and track how long pickup takes.
  • Ignoring replies that are not interest. "Not now" and "wrong person" replies are useful. Log the follow-up date or the referral, and act on it later.
  • No exclusions. Emailing current customers or a prospect a rep is already talking to damages trust inside and outside the company. Apply exclusions in code before research starts.

How to judge it

Measure what sales leadership cares about: meetings booked and held from AI SDR outreach, time from a positive reply to a rep picking it up, rep hours freed from prospecting, and CRM completeness. Watch reply quality by segment, and check opt-out, bounce and complaint rates every day. Compare against a segment worked the old way during the pilot, so the comparison is fair.

Getting started

Write down the playbook for one segment and collect your best reps' emails. That is enough for a working AI SDR on real accounts in the first two weeks. At BufferSol, you get a working agent on your real accounts and CRM in under 30 days, with full rollout typically in 4 to 8 weeks. Our AI agents team builds the research, writing and inbox agents, and our autonomous workflows team connects them to your CRM, inboxes and calendars.

Frequently asked questions

What is an AI SDR?

An AI SDR (sales development representative) is a set of AI agents that does the repetitive work of sales development: researching accounts, drafting personalized outreach, sending follow-ups on time, sorting replies, booking meetings and keeping the CRM current. Human reps approve high-value outreach and take over warm leads and real conversations.

Can an AI SDR replace human SDRs?

It replaces much of the repetitive work, not the role's judgment. In the system we built, reps had been spending most of the week on manual prospecting; the AI SDR took that work so reps could focus on conversations. People still decide on high-value accounts, handle objections that need judgment and build relationships.

How do you stop an AI SDR from damaging your email reputation?

Limit sends per mailbox and per day, ramp new mailboxes slowly, authenticate sending domains, target carefully, honor unsubscribes immediately and pause automatically if complaint or bounce rates rise. Google's sender guidelines ask all senders to keep reported spam rates below 0.3%.
