Walk into every sales call prepared and send the follow-up the same hour
A done-for-you sales meeting prep and follow-up automation is an AI agent that prepares a one-page brief before every customer call and handles the work after it. It pulls account history, open deals, past calls, support tickets and recent news, then after the meeting drafts the recap email, mutual next steps, tasks and CRM updates for the rep to approve. BufferSol builds it on your calendar, CRM and call recorder.

What changes for your business
Prepared for every meeting
Reps get a short brief before each call with who is attending, what has happened so far, open issues and suggested questions.
Same-day follow-up
A recap with decisions, owners and dates is drafted within minutes of the call ending, ready for the rep to edit and send.
Next steps in the CRM
Tasks, next meeting dates, stakeholders and deal updates from the call are written to the CRM after the rep approves them.
Is this you?
For account executives, account managers and founders who run several customer meetings a day on Zoom, Teams or Google Meet and track deals in HubSpot or Salesforce.
- Reps prepare for calls by opening five tabs a few minutes before the meeting.
- Follow-up emails go out the next day, or not at all.
- Next steps agreed on calls are not in the CRM, so managers cannot see them.
- Prospects have to repeat things they already told a colleague or the SDR.
- Your call recorder captures everything but nobody turns it into actions.
Today vs done for you
The current way, and the new way
What your team does by hand today, and what the automation does instead, step by step.
How it works today
- Before a call, the rep scans the CRM, old emails, LinkedIn and the company site for context.
- The rep asks the SDR or support team in Slack whether anything happened with the account.
- During the call, the rep takes notes by hand while trying to listen.
- After the call, the rep jumps straight into the next meeting and plans to write the follow-up later.
- Notes stay in a notebook or call recorder, and the CRM gets a one-line update days later, if at all.
What it quietly costs you
- · Buyers notice when a rep is underprepared or asks questions they already answered.
- · Late or missing follow-ups slow deals and let commitments slip on both sides.
- · Managers forecast without knowing what was actually agreed on calls.
How it works done for you
- The agent watches reps' calendars for meetings with external attendees and matches each one to the account, contacts and open deals in the CRM.
- An hour before the meeting it sends a brief to the rep in Slack or email: attendees and roles, deal stage and history, last call summary, open support tickets, recent company news and suggested questions.
- After the call it reads the transcript from Gong, Zoom, Teams or your recorder and pulls out decisions, objections, pain points, stakeholders and agreed next steps.
- It drafts the recap email in the rep's voice with clear owners and dates, and the rep edits and sends it from their own mailbox.
- It proposes CRM updates such as next step, close date, competitors and new contacts, and creates tasks and the next meeting invite once the rep approves.
- It flags risks to the manager, such as a missing decision maker or a slipped timeline, and logs every brief, draft and update on the deal record.

- Recap emails are drafted only; the rep sends them from their own mailbox after review.
- Calls are recorded and transcribed only where your recording and consent rules allow, with notice to attendees.
- Pricing, discounts and contract terms in recaps are highlighted for the rep to check before sending.
- CRM changes need rep approval, and every brief and update is logged on the deal record.
Why it hurts today
What teams say about this work
Common complaints from operators, reviewers and industry research.
Microsoft's Work Trend Index found that people name inefficient meetings as their top productivity disruptor, and most say it is hard to catch up when they join a meeting late.
Salesforce's research shows reps' time is consumed by tasks like deal management and data entry, leaving little time to connect with customers.
Users of a call recording platform say its assistant samples calls rather than reviewing all of them, and that contacts placed in follow-up flows do not always stay there.
Workers say they spend too much of the day searching for information, which is exactly what a rep does in the minutes before a call.

Do we need a call recorder like Gong?
It helps but is not required. The agent can work from Gong, Zoom, Microsoft Teams or Google Meet transcripts, or from a recorder we set up for you. Without transcripts it still prepares briefs from your CRM, email and support history, and can turn a rep's short voice note or typed bullets into a recap and CRM updates.
Does the agent send emails to customers on its own?
No. Recaps are drafted in the rep's mailbox or Slack for review, and the rep sends them. Anything about pricing, discounts or contract terms is highlighted so the rep checks it before it goes out. Tasks and CRM changes are applied only after the rep approves them.
What about recording consent?
Recording rules differ by state and country. We configure your recorder to announce itself and follow your policy, and the agent only uses transcripts from calls that were recorded under those rules. For calls without a recording, it relies on CRM data and the rep's own notes.
How long until reps are using it?
Most meeting prep and follow-up builds go live in 3 to 6 weeks. We connect calendars, the CRM, your recorder and support tools, design the brief and recap format with a few reps, test on recent meetings, then roll out to a pilot group before the whole team.
How much does it cost?
It is quoted after a short scoping call. The price depends on the number of reps, the meeting tools and CRM involved, whether we include support and billing data in briefs, and how much CRM updating you want. You get a fixed scope before any build work starts.
