# CRM Data Entry & Hygiene: done-for-you AI automation by BufferSol

> A done-for-you CRM data entry and hygiene automation is an AI agent that keeps HubSpot, Salesforce or Pipedrive accurate without reps typing. It reads emails, calendar events and call notes, logs activity to the right contact and deal, fills missing fields, proposes merges for duplicates, checks job changes and bounced contacts, and flags deals with stale stages or dates. Reps confirm changes that matter, and every edit is logged.

## A CRM that updates itself from emails, calls and meetings, and stays clean

**Who it is for:** For sales teams of five to two hundred reps on HubSpot, Salesforce or Pipedrive whose forecasts depend on CRM data that reps update late, partly or not at all.

### Signs you need it
- Forecast meetings start with reps updating deal stages and close dates live.
- Many contacts have no title, no company or an email that bounces.
- The same company appears three times under slightly different names.
- Managers cannot see the last real conversation on a deal without asking the rep.
- Ops runs a cleanup project every quarter and the mess comes back.

## Business outcomes
- **Activity logged without typing.** Emails, meetings and calls are attached to the right contact, account and deal automatically, with a short summary of what was agreed.
- **Fields that can be trusted.** Required fields, stages, amounts and close dates are filled or challenged based on what actually happened in the deal.
- **Fewer duplicates and dead contacts.** Duplicates are found and merged with approval, and contacts who changed jobs or bounce are flagged before reps waste time on them.

## How it works today
1. Reps send emails and hold meetings from Outlook or Gmail and mean to log them in the CRM later.
2. At the end of the week, or before a forecast call, they update stages, amounts and close dates from memory.
3. New contacts are created by hand, often as duplicates of existing records with different spellings.
4. Sales ops exports reports to spot missing fields and messages reps to fix them.
5. Bought contact lists are imported without checks, adding stale emails and wrong titles.
6. A quarterly cleanup project merges duplicates and deletes dead records.

Hidden costs:
- Reps lose selling time to data entry, and still the data is incomplete.
- Forecasts and pipeline reports are built on stale stages and dates, so leaders make calls on bad numbers.
- Duplicates and dead contacts cause awkward double outreach and bounced emails that hurt sender reputation.

## How it works done for you
1. The agent connects to reps' mailboxes and calendars, your call recorder and the CRM, and watches for new emails, meetings and calls with customers and prospects.
2. It matches each interaction to the right contact, account and open deal, creating a new contact only when no match exists, and logs a short summary with next steps.
3. It reads what was said and proposes field updates: stage, amount, close date, decision makers, competitors and next meeting. Low-risk fields update on their own; stage and amount changes wait for the rep's one-click approval.
4. Each night it scans for duplicate contacts and accounts, scores the match, and merges high-confidence pairs under rules you set, sending the rest to ops for review.
5. It checks contacts against bounces, email signatures and your enrichment provider to flag job changes and fill missing titles, phone numbers and company data.
6. It flags deals with no activity, close dates in the past or stages that do not match recent conversations, and sends each rep a short list to confirm or fix.
7. Every change is logged with the before and after value, the evidence and who approved it, and can be reversed.

## What changes for the team
- **Account executive.** Today: Logs emails and calls by hand and updates deals the night before the forecast. Done for you: Approves suggested updates in a short daily list and spends the time selling.
- **Sales operations.** Today: Exports reports, chases reps about missing fields and runs quarterly cleanup projects. Done for you: Sets the data rules, reviews borderline merges and trusts the reports they build.
- **Sales manager.** Today: Asks reps what really happened on each deal before every pipeline review. Done for you: Reads the logged conversations and flags, and uses one-on-ones for coaching.

## KPIs we measure
- **Activity capture:** Customer emails and meetings logged to the CRM as a share of those in mailboxes and calendars, sampled weekly.
- **Required field completeness:** Share of open deals and active contacts with all required fields filled, from a CRM report.
- **Duplicate rate:** Duplicate contacts and accounts per thousand records, measured at launch and monthly after.
- **Stale deals:** Open deals with no activity in a set period or a close date in the past, tracked weekly.
- **Rep time on data entry:** Short rep survey before launch and after, plus clicks and edits saved from the CRM audit log.

## Industry data
- 28%: of their week is what sales reps spend actually selling (Salesforce, 2022 survey of 7,775 sales professionals) ([Salesforce](https://www.salesforce.com/news/stories/sales-research-2023/))

## Systems it connects to
HubSpot, Salesforce, Pipedrive, Microsoft 365 Outlook, Gmail, Gong, Zoom, ZoomInfo, Apollo, Slack

## Guardrails
- Stage, amount, close date and owner changes always need the rep's approval.
- Merges follow written rules, keep a full copy of both records and can be reversed; low-confidence pairs go to ops.
- Only business emails and meetings with external contacts are read; personal and internal threads are excluded by rule.
- Every edit is logged with before and after values, the source evidence and the approver.
- Enrichment respects your data provider's terms and your privacy notices.

## What teams say about this work
- Salesforce's research found that the majority of reps' time is consumed by tasks like deal management and data entry rather than selling. ([Salesforce](https://www.salesforce.com/news/stories/sales-research-2023/))
- Users of a revenue intelligence platform report duplicate data on booked meetings and several data points that do not display accurately. ([Trustpilot](https://www.trustpilot.com/review/gong.io))
- Buyers of a large contact database say much of the data was inaccurate and many emails were undeliverable, which wasted their team's time. ([Trustpilot](https://www.trustpilot.com/review/zoominfo.com))
- Users of a leading helpdesk note that it often does not recognize the same person unless the contact details match exactly, and that merges cannot be undone. ([G2](https://www.g2.com/products/zendesk-for-customer-service/reviews))
- CRM customers complain that vendor-side platform changes disrupted their custom setups and that the interface is cluttered for simple tasks. ([Trustpilot](https://www.trustpilot.com/review/www.hubspot.com))

## Executive Ask questions for this workflow
- Which deals in this quarter's forecast have had no customer contact in the last two weeks?
- How many duplicate accounts did we merge this month, and which teams created them?
- Which of our top accounts have a key contact who changed jobs recently?

## Frequently asked questions
### Will reps lose control of their deals?
No. The agent logs activity and fills routine fields on its own, but stage, amount, close date and owner changes are only suggested, with the evidence attached. Reps approve or reject them in a short daily list in the CRM, Slack or email. Every change shows who made it and why, and can be reversed.

### Does it read every email in our company?
No. It only reads mailboxes and calendars of the users you include, and only threads with external contacts that match customers or prospects in the CRM. Internal and personal threads are excluded by rule. Access uses Microsoft 365 or Google Workspace permissions you control, and you can remove a user at any time.

### Can it clean up our existing mess, not only new data?
Yes. Before switching on daily hygiene, we run a one-time pass over your existing records: duplicate detection, bounced and stale contacts, missing fields and deals with impossible dates. High-confidence fixes are applied under rules you approve, and the rest go to ops in a review queue, so you start from a clean base.

### How long does it take?
Most CRM hygiene builds go live in 3 to 6 weeks. We agree your data rules and required fields, connect mailboxes, calendars, call tools and enrichment, run the one-time cleanup with ops reviewing, then switch on daily logging and suggestions for a pilot group of reps before the full team.

### What does it cost?
It is quoted after a short scoping call. The price depends on the number of users, the CRM and how customized it is, the size of the existing cleanup and the tools we connect, such as call recorders and enrichment providers. You get a fixed scope before the build starts.
