# Shared Support Inbox Automation: done-for-you AI automation by BufferSol

> A done-for-you shared inbox automation is an AI agent that works inside a Gmail or Outlook shared mailbox such as support@ or info@. It reads each email and attachment, matches the sender to your CRM, labels the request, assigns one owner, drafts a reply from your own answers, and flags anything going stale. People approve and send, and every step is logged. BufferSol builds it without moving you to a new helpdesk.

## Your support@ inbox sorted, owned and answered without crossed wires

**Who it is for:** For small and mid-sized companies, agencies and B2B firms that run customer support, orders or account questions from a shared Gmail or Outlook mailbox rather than a full helpdesk, usually with three to fifteen people reading it.

### Signs you need it
- Two people sometimes reply to the same customer email, with different answers.
- Emails get read, marked as read, and then forgotten because nobody knew they owned them.
- Customers have to repeat their order number or account details because the last thread was with a colleague.
- You cannot say how long customers wait for a first reply from the shared inbox.
- Vendor invoices, spam, sales pitches and real customer requests all sit in one list.

## Business outcomes
- **One owner per email.** Every customer email gets a single named owner and a label, so nothing is answered twice and nothing slips through.
- **Replies with full context.** Drafts include the customer's account, recent orders and past threads, so customers do not have to explain themselves again.
- **A clear view of response times.** Leaders see waiting emails, response times and request types without anyone keeping a manual log.

## How it works today
1. Everyone on the team watches the same shared mailbox in Outlook or Gmail.
2. Someone opens an email, decides it is not theirs, and leaves it, now marked as read.
3. The person who does reply searches old threads and the CRM by hand to find the customer's history.
4. Teammates ask in Slack or Teams "is anyone on this one?" to avoid double replies.
5. Follow-ups promised to customers live in personal notes or memory.
6. A manager scrolls the inbox at the end of the day looking for emails with no reply.

Hidden costs:
- Missed and late replies, especially on busy days and holidays, when unanswered emails roll into the next day's pile.
- Duplicate or conflicting replies that make the company look disorganized.
- No data on volume or response time, so staffing decisions are guesswork.

## How it works done for you
1. The agent reads each new email in the shared mailbox, including attachments such as photos, POs or invoices, and drops spam, vendor sales pitches and newsletters into their own folders.
2. It matches the sender to a customer in HubSpot, Salesforce or your order system, links related past threads, and spots replies to an existing conversation.
3. It labels the request type and urgency, assigns one owner by topic, account or round robin, and posts the assignment in the shared mailbox and Slack or Teams.
4. It drafts a reply in the thread using your saved answers, price lists and policies plus the customer's own data, for the owner to check and send.
5. It tracks promised follow-ups and waiting customers, nudges the owner before a reply goes stale, and reassigns if someone is out of office.
6. Simple, pre-approved messages such as receipt confirmations or document requests can be sent on their own within rules you set.
7. Every label, assignment, draft and send is logged, and a daily digest lists open emails by owner and age.

## What changes for the team
- **Customer service coordinator.** Today: Reads every email, decides who should handle it, and chases colleagues in chat. Done for you: Checks the agent's assignments, handles escalations and keeps saved answers up to date.
- **Account or office staff.** Today: Dips into the shared inbox between other work and searches old threads for context. Done for you: Gets only the emails assigned to them, each with a draft reply and the customer's history attached.
- **Operations manager.** Today: Scrolls the inbox at day's end to find unanswered emails and has no response time data. Done for you: Reads a daily digest of open emails, owners and wait times, and staffs busy days with real numbers.

## KPIs we measure
- **First reply time:** Measured from the email's arrival to the first human or approved reply, baselined from a sample of the mailbox before launch.
- **Emails with no owner:** Count of customer emails older than one business hour with no assigned owner, which should fall to zero.
- **Duplicate replies:** Threads with replies from two or more team members within an hour, compared before and after launch.
- **Draft acceptance:** Share of drafts sent with no or light edits, tracked per request type.
- **Stale threads:** Customer threads waiting more than one business day for a reply, reported daily by owner.

## Industry data
- 74%: of consumers are frustrated when they have to repeat information (Zendesk CX Trends 2026) ([Zendesk](https://www.zendesk.com/newsroom/press-releases/contextual-intelligence-becomes-the-new-standard-for-exceptional-customer-experience-in-2026/))
- 82%: of customers want their issues solved immediately (HubSpot State of Service, 2024) ([HubSpot](https://www.hubspot.com/company-news/hubspot-state-of-service-report-2024-the-new-playbook-for-modern-cx-leaders))

## Systems it connects to
Microsoft 365 Outlook, Gmail and Google Workspace, HubSpot, Salesforce, Slack, Microsoft Teams, Shopify, QuickBooks Online, SharePoint

## Guardrails
- Drafts are saved in the thread for a person to send; auto-send is limited to message types you list in writing.
- The agent uses mailbox permissions you grant and cannot read personal mailboxes.
- Emails that mention legal action, complaints about staff or data requests go straight to a named manager.
- Attachments with personal or payment data are handled under your retention rules and never stored outside your tenant.
- Every assignment, draft and send is logged with a timestamp and the person who approved it.

## What teams say about this work
- Helpdesk vendors themselves warn that letting staff pick work by hand from a shared list becomes hard to manage as the team grows. ([Zendesk Help Center](https://support.zendesk.com/hc/en-us/articles/4408831658650-Routing-and-automation-options-for-incoming-tickets))
- Reviewers note that when a request is reassigned or worked by several teams, it becomes hard to track first response time and true handling time. ([G2](https://www.g2.com/products/freshdesk/reviews?qs=pros-and-cons))
- When agents are overloaded, unfinished conversations roll over to the next day and the next day's workload starts with yesterday's backlog. ([Zoho](https://www.zoho.com/simplifiedCX/are-you-playing-hard-to-get-with-your-customers.html))
- Customers say they are frustrated when they have to repeat information and want agents to pick up the conversation without backtracking. ([Zendesk](https://www.zendesk.com/newsroom/press-releases/contextual-intelligence-becomes-the-new-standard-for-exceptional-customer-experience-in-2026/))

## Executive Ask questions for this workflow

- Which of our top accounts emailed us this week, and were they answered the same day?

## Frequently asked questions
### Do we need to move to a helpdesk like Zendesk first?
No. Many teams are happy in Outlook or Gmail and only need order and ownership. The agent works inside your existing shared mailbox using labels, categories and drafts, and posts assignments to Slack or Teams. If you later outgrow the mailbox, the same rules and saved answers can move with you into a helpdesk.

### Will customers notice anything different?
They should notice faster, more complete replies. Emails still come from your shared address, in your team's voice, and are signed by the person who owns the thread. The agent does not add a bot signature unless you want one. Customers no longer get two different answers or need to repeat their account details.

### How do you keep our mailbox data safe?
The agent connects through Microsoft Graph or the Gmail API with access limited to the shared mailbox you choose. It does not read personal mailboxes. Data stays in your tenant and your CRM, we log every action, and sensitive topics such as legal threats or data requests go straight to a named manager.

### How long does it take to set up?
Most shared inbox builds are live in 3 to 6 weeks. We review a sample of your mailbox, agree request types and owners, write saved answers with your team, connect the CRM and order tools, and run drafts-only mode for a period before enabling any automatic messages.

### How much does it cost?
It is quoted after a short scoping call. The price depends on how many mailboxes and request types are involved, the systems we connect for customer context, and whether you want automatic replies for any message types. You get a fixed scope in writing before the build starts.
