# Order Entry & Processing: done-for-you AI automation by BufferSol

> A done-for-you order entry automation is an AI agent that BufferSol builds and runs inside your inbox and ERP. It reads each customer purchase order, whether it arrives as a PDF, a spreadsheet or plain email text, matches the customer, ship-to and items to your records, checks price and stock, and creates a draft sales order in NetSuite, Business Central, SAP Business One or Acumatica. Your team approves anything unusual. It goes live in 3 to 6 weeks.

## Emailed and PDF purchase orders become checked ERP sales orders

**Who it is for:** Distributors, wholesalers, manufacturers and 3PLs whose customer service or inside sales team retypes dozens to hundreds of emailed purchase orders into the ERP every day.

### Signs you need it
- Your CSRs spend the first hours of each day copying line items from PDF attachments into the ERP.
- Orders sit in a shared inbox over the weekend or while the one person who knows a big account is out.
- Wrong item codes, unit-of-measure mix-ups and old prices are found only when the customer disputes the invoice.
- Large customers refuse EDI, so every PO arrives in their own layout.
- You hire temps at peak season just to keep up with order entry.

## Business outcomes
- **Same-day order release.** Clean orders are created as drafts within minutes of arriving, so the warehouse sees them on the first pick wave instead of the next morning.
- **Fewer order disputes.** Every line is checked against the customer's price list, item cross-reference and open credit before it reaches the ERP, so mistakes are caught before they ship.
- **CSRs back on customers.** Your team spends its time on exceptions, allocations and customer calls instead of copy and paste.

## How it works today
1. A customer emails a PO as a PDF, a spreadsheet or text in the email body to a shared orders inbox.
2. A CSR opens it, finds the customer and ship-to in the ERP and starts a new sales order.
3. They type each line, translating the customer's part numbers into your item codes from memory or a lookup sheet.
4. They check price and availability in separate screens, then email the customer about backorders or substitutions.
5. They file the email, send an acknowledgement and hope nobody else entered the same PO twice.

Hidden costs:
- Skilled CSR time goes to typing, so phone calls and quotes wait.
- Keying errors turn into wrong shipments, credits and returns that cost more than the order margin.
- Order intake slows to a crawl whenever a key person is sick, on leave or quits.

## How it works done for you
1. The agent watches the orders inbox and any EDI-free customer portals, and picks up each new PO with its attachments.
2. It extracts header and line data from PDFs, spreadsheets and email text, including PO number, ship-to, requested date and terms.
3. It maps customer part numbers to your items using the ERP cross-reference and past orders, and flags any line it cannot match with confidence.
4. It checks price against the customer's contract or price level, confirms stock and credit status, and detects duplicate PO numbers.
5. It creates a draft sales order in the ERP with the source document attached, and routes exceptions to a named CSR in Teams or Slack with a suggested fix.
6. After a person approves, it releases the order and sends the customer an acknowledgement with confirmed dates and any backorders.
7. Every extraction, match and approval is logged against the order for audit and coaching.

## What changes for the team
- **Customer service rep.** Today: Retypes purchase orders line by line and checks prices across several screens. Done for you: Reviews flagged lines, handles substitutions and talks to customers about allocations.
- **Customer service manager.** Today: Moves people between inboxes to clear the morning backlog and fixes order errors after the fact. Done for you: Watches a live queue of exceptions by customer and coaches on the recurring ones.
- **Warehouse lead.** Today: Waits for late-entered orders and reworks picks when lines change. Done for you: Gets released orders earlier and with fewer changes after picking starts.

## KPIs we measure
- **PO receipt to order release time:** Measured from the email timestamp to ERP release, baselined from two weeks of current orders before go-live.
- **Touchless order rate:** Share of orders released with no human edit, tracked weekly by customer and by document layout.
- **Order entry error rate:** Credits, returns and re-ships caused by entry mistakes, compared with the pre-launch quarter.
- **CSR hours on entry:** Time-tracking sample before launch, then the agent's own handling logs after launch.
- **Exceptions per hundred orders:** Counted by reason code, such as unknown item, price mismatch or credit hold, to target fixes.

## Industry data
- about 74%: of distribution end users very frequently or frequently order by email (2016 study of over 3,500 distributor customers) ([Distribution Strategy Group](https://distributionstrategy.com/2016/10/the-electronic-postman-always-rings-much-more-than-twice/))
- 20% to 40%: of the time of multiple CSRs can be consumed handling emailed orders (2016) ([Distribution Strategy Group](https://distributionstrategy.com/2016/10/the-electronic-postman-always-rings-much-more-than-twice/))

## Systems it connects to
NetSuite, Microsoft Dynamics 365 Business Central, SAP Business One, Acumatica, Microsoft Outlook and Exchange, Gmail, SharePoint, Microsoft Teams, Slack, Salesforce

## Guardrails
- Orders above a value you set, from new customers or with any unmatched line always wait for a person to approve.
- The agent never changes prices, credit limits or customer master data; it only proposes.
- Every order keeps the original PO file and a field-by-field record of what was read and why each match was made.
- Duplicate PO numbers and repeat attachments are blocked before an order is created.
- Data stays in your ERP and mail tenant, with access limited to the order entry roles you name.

## What teams say about this work
- A small business owner said one large client sends several PDF purchase orders a day on the same template, and keying them into the accounting system still takes hours every week. ([Zoho Community](https://help.zoho.com/portal/en/community/topic/automating-process-for-customer-purchase-orders?page=1))
- A finance user receiving many customer purchase orders daily as PDF email attachments asked for any tool that could create the sales orders automatically, because the team was typing them in by hand. ([Sage Community Hub](https://communityhub.sage.com/gb/sage-50-accounts/f/general-discussion-uk/252855/sage-50-accounts---sales-order-generation---automation-software))
- A manufacturer's systems team described retyping emailed orders into NetSuite as close to a full-time job and very labor intensive for its sales staff. ([Anchor Group](https://www.anchorgroup.tech/converting-customer-emails-to-automated-orders))
- Distribution buyers send orders in the email body or as PDF, Word or Excel attachments, so the distributor's CSRs must handle every format by hand. ([Distribution Strategy Group](https://distributionstrategy.com/2016/10/the-electronic-postman-always-rings-much-more-than-twice/))

- Which customers send the most orders with unmatched part numbers?

## Frequently asked questions
### How long does it take to go live?
Most order entry automations go live in 3 to 6 weeks. The first part is mapping your top customers' PO layouts, item cross-references and price rules. Then the agent runs in shadow mode, drafting orders your CSRs compare with their own. Once the drafts match, we switch on approvals and release, starting with your highest-volume customers and adding more each week.

### What does it cost?
Cost depends on order volume, the number of PO layouts, your ERP and how many approval rules you need, so we do not publish a price. It is quoted after a short scoping call where we look at a sample of real orders and your current process. You get a fixed scope and a clear quote before any build work starts.

### Do our customers have to change how they send orders?
No. The point is to accept orders the way customers already send them: PDFs, spreadsheets, scanned faxes or plain email text. The agent learns each layout from past examples. If some customers later agree to EDI or a portal, the agent can handle those too, but nobody is forced to switch to use it.

### What happens when the agent is not sure about a line?
It does not guess. Any line it cannot match with confidence, such as a new part number, a price outside the contract or an odd unit of measure, is flagged with the reason and a suggested match. A CSR picks the right item or fixes the price, and that decision is remembered for the next order from that customer.

### Which ERPs do you work with?
We regularly connect to NetSuite, Dynamics 365 Business Central, SAP Business One and Acumatica, using their standard APIs and your own user roles. Other ERPs with an API or import interface can also work. We confirm the connection method during scoping so there are no surprises in the build.
