# Marketplace Listing & Inventory Sync: done-for-you AI automation by BufferSol

> A done-for-you marketplace listing and inventory sync automation is an AI agent BufferSol builds on top of your store, marketplaces and inventory system. It reconciles stock and prices across Shopify, Amazon and Walmart, catches suppressed or unpublished listings and the reason behind them, prepares the fix, and pauses listings before they oversell. A person approves price changes and catalog edits. It goes live in 3 to 6 weeks.

## Keep stock, prices and listings matched across Shopify, Amazon and Walmart

**Who it is for:** Brands and sellers running the same catalog on Shopify, Amazon (FBA, FBM or both), Walmart Marketplace and sometimes eBay, with shared inventory and an operations team that tends to find sync problems after customers do.

### Signs you need it
- You oversell during promotions because stock syncs on a timer rather than on each sale.
- Listings go suppressed or unpublished and nobody notices for days.
- Seller Support answers do not match the error shown, so fixes go in circles.
- FBA stock and warehouse stock live in separate spreadsheets.
- Kits, bundles and multipacks keep tying to the wrong listing or UPC.

## Business outcomes
- **Fewer oversells and cancellations.** Stock buffers and pauses react to each sale and each warehouse change, so you stop cancelling orders and taking account health hits.
- **Listings back up sooner.** Suppressed and unpublished listings are found the same day with the likely cause and a prepared fix, instead of being discovered when sales drop.
- **One view of every channel.** Operations sees stock, price and listing status for every SKU on every channel in one place, with a record of what changed and why.

## How it works today
1. A connector such as Shopify Marketplace Connect, Sellbrite or Linnworks pushes stock on a schedule and usually works.
2. On a busy day the sync lags or stops, and the same unit sells on Amazon and Shopify.
3. Someone downloads Amazon inventory reports and the Walmart item report each week to look for suppressed, inactive or unpublished items.
4. Each error is researched by hand: missing attribute, brand approval, UPC mismatch or a price flagged as unintended.
5. Fixes go back through flat files or Seller Center forms, and a Seller Support case is opened when that fails.

Hidden costs:
- Cancelled orders hurt marketplace metrics and can put the selling account at risk.
- Suppressed listings lose sales quietly, often in the season that matters most.
- Operations staff turn into full-time report checkers instead of improving fulfillment.

## How it works done for you
1. The agent reads stock from your inventory system or WMS, FBA inventory reports and each channel's listing API, and keeps one SKU map that covers kits and bundles.
2. On each sale or stock change it recalculates available quantity per channel with your buffer rules and pushes updates, pausing a listing when stock hits the floor you set.
3. Several times a day it checks Seller Central, Walmart Seller Center and Shopify for suppressed, inactive, unpublished or mismatched listings.
4. For each problem it reads the error code and the listing data, works out the likely cause and prepares the fix, such as the missing attribute value or the corrected product ID.
5. Content fixes go out automatically within your rules; price changes and anything touching brand registry wait for a person's approval in Slack or email.
6. When a problem cannot be fixed from your side, it drafts a Seller Support case with evidence and tracks it until it closes.
7. Every push, pause and fix is logged per SKU and channel, with a daily summary to the operations lead.

## What changes for the team
- **Marketplace manager.** Today: Downloading reports, decoding suppression reasons and resubmitting flat files. Done for you: Approves price and catalog changes and handles the cases the agent escalates.
- **Inventory or operations lead.** Today: Reconciling FBA, 3PL and warehouse stock in spreadsheets and cancelling oversold orders. Done for you: Sets buffer rules per channel and works from a short daily exceptions list.
- **Customer service.** Today: Apologizing for cancelled orders and late shipments caused by oversells. Done for you: Handles a smaller queue of genuine fulfillment questions.

## KPIs we measure
- **Seller-cancelled orders:** Orders cancelled for lack of stock per channel per month, from Seller Central, Walmart and Shopify order data.
- **Time to detect a listing problem:** Hours from a listing going suppressed or unpublished to it being flagged, compared with the old weekly check.
- **Time to restore a listing:** Hours from detection to the listing being active again, tracked per error type.
- **Cross-channel stock accuracy:** Daily comparison of available quantity on each channel against the inventory system of record.
- **Account health:** Cancellation and order defect metrics tracked from Amazon Account Health and Walmart Seller Performance.

## Systems it connects to
Amazon Seller Central, Walmart Marketplace, Shopify, Linnworks, Sellbrite, NetSuite, ShipBob or your 3PL, eBay, Slack

## Guardrails
- Price changes, new listings and brand registry actions need a named person's approval.
- The agent can lower available stock on its own but never raise it above what the inventory system shows.
- Each marketplace API rate limit is respected, and retries are logged rather than hidden.
- Every change is recorded per SKU and channel with before and after values, and can be reversed.

## What teams say about this work
- A merchant with hundreds of products found inventory had stopped syncing from Shopify to Amazon, feared overselling, and was told by support that a fix had no timeline. ([Shopify Community](https://community.shopify.com/t/amazon-channel-inventory-changes-not-syncing-from-shopify-to-amazon/52971))
- Sellers on both Shopify and Amazon say stock updates too slowly after Amazon sales, so the same item sells twice, and FBA warehouse stock is not visible in Shopify. ([Shopify Community](https://community.shopify.com/t/best-way-to-keep-shopify-and-amazon-inventory-in-sync/561926))
- A seller had every listing for one brand suppressed for missing color and size values that were already filled in; the real cause was a removed brand approval, which took a forum escalation to uncover. ([Amazon Seller Forums](https://sellercentral-europe.amazon.com/seller-forums/discussions/t/92d69d3c-b460-4698-8817-74a40a2b978c))
- A Walmart item that had already sold was switched to unpublished for a possibly unintended price after competitors moved their prices, and stayed unpublished after the seller adjusted. ([Sellers Ask Sellers](https://sellersasksellers.com/t/status-of-item-changed-to-unpublished/5171))

## Executive Ask questions for this workflow
- Which of our listings are suppressed or unpublished right now, and how much did they sell last month?
- How many orders did we cancel for being out of stock this quarter, by channel?
- Which SKUs are close to selling out on Amazon but still have stock in our own warehouse?

## Frequently asked questions
### How long does setup take?
Most clients are live in 3 to 6 weeks. We start by building the SKU map across channels, including kits and bundles, and agreeing buffer rules. Then the agent runs in watch-only mode, reporting what it would change, while your team checks its calls. Once the reports match reality, we turn on stock pushes and listing fixes within the rules you approved.

### What does it cost?
Cost depends on the number of channels, SKUs and inventory locations, and which connector and ERP you already run. We look at your current setup and recent listing problems, then give a fixed quote. It is quoted after a short scoping call, so you know the full cost before we connect anything to your accounts.

### Does this replace our connector like Linnworks or Sellbrite?
Usually not. Your connector keeps doing the bulk listing and order sync it does well. The agent sits on top, watching for lag, failed pushes, suppressed listings and mismatched SKUs, and acting on them. If your connector cannot push stock on each sale, the agent can call the marketplace APIs directly for the SKUs at risk.

### Can it handle FBA stock and our own warehouse together?
Yes. The agent reads FBA fulfillable quantity from Amazon reports and your own stock from the WMS, 3PL or ERP, then keeps both in one SKU map. You decide which pool each channel sells from and what buffer applies, and it applies those rules on each change rather than on a fixed timer.

### Will the agent change our prices on its own?
Not unless you allow it. By default the agent can prepare a price change, such as one that would clear a Walmart unintended-price flag, but a named person approves it in Slack or email before it goes out. Some clients allow small changes within a set band; that rule is written down and every change is logged.
